Newsletters are a common phenomenon in today’s companies and are seldom read by the intended audience. Published in PDF and distributed through emails these remain unread in the inbox without ever getting read!A few companies print hard copies which invariably reach dustbins without even attracting a glance!
Are internal newsletters right tool for communication? Should these be dumped for lack of readership? What could be done to get employees to read these newsletters? The answer is that Newsletters are very effective tool for organizational communication and could become the most awaited publication for employees PROVIDED it is done RIGHT. Here are some ideas that you could consider for running newsletter successfully:
IDEA 1: Internal Newsletters are typically built with intention of one way formal communication of content that company wants to communicate with no element of FUN. For this reason, I believe newsletters are set to FAIL from the beginning! Therefore content of newsletters should be carefully selected to include FUN elements along with serious company required content. Adding FUN does not mean adding humour section, it means adding content that the employees enjoy reading. Publishers cannot guess such content and thus need to rely on analytics to determine which topics are liked and read by the employees. In short, use analytics to learn what kind of content should be published and what kind of content should be avoided!
IDEA 2: World has moved on from laptop and desktops to mobile and tablets. Internal newsletters should be published in various platforms and employees should be able to choose convenient modes for consuming these newsletters. You will be surprised by the number of employees who choose a relaxing weekend to catch up with the newsletter on their iPads!
IDEA 3: World is moving from WEB 2.0 to Social WEB 3.0. Newsletters have not kept with this transformation but they need to! We should add social elements to newsletters such as ability to comment and share articles in the newsletter.
IDEA 4: Rich media such as videos, Photos with tagging, and flash have become stable among magazine publishers and internal newsletters in order to engage readers must adopt them too.
How do we incorporate these 4 ideas and yet not take considerable time and resources of the publisher? The answer is simple, adopt DIGITAL PUBLISHING PLATFORMS! There are many platform providers where you could submit your PDF and the platform converts into a digital book that could be accessed through various platforms such as IPAD, IPhone, laptop etc, provide analytics so that one could understand best times to publish and contents that the employees want to see more. They allow commenting and sharing of articles and fosters engagement with employees. They also allow use of rich media such as flash and videos!
And do you know the best thing about them? A few platforms are actually FREE!!!
